Job Descriptions
1. School & Library Sales – 3 Workstations / 6 Interns
- Sales calls to existing customer contact lists
- Helping with our 30 education and library sales representatives in 28 states
- Help with district vendor list applications (50-state project)
- Mass Email marketing campaigns to prospects through SwiftPage.com with ACT Customer Relations Management. About 32,000 emails per day for the company
- Follow-up phone calls
- Coordinate catalog mailings through Direct Marketers of Charleston. (we send about 30K catalogs per season)
- Writing pitch letters
- Building contact lists for science teachers, curriculum advisors, literacy coaches, federal and state grant awardees
- Help with tradeshow coordination
2. Bookstore, Gift Shop & Overseas Sales – 1 Workstation / 2 Interns
- Work with our five regional, independent rep groups: New England: New England Book Sales, Mid-Atlantic: Parson Weems, Midwest: Diverse Marketing, Southeast: Bill McClung & Associates, West: Nancy Suib and Associates
- Work with our Canadian distributor: CODASAT Canada
- Help with calls and emails developing an export market
- Help with foreign rights sales
3. Office Manager Assistant – 1 Workstation / 2 Interns
- Use of Quickbooks for invoicing orders, along with weekly and monthly financial report reviews
- Track flows through P&L, balance sheet and cash flow statements
- Inventory Management
- Help with uploading and maintaining 12 different external title databases (Amazon, Wholesalers, etc) – detailed title data, awards, reviews and imagery
- Help with daily updates to our Website (Adobe Contribute and Dreamweaver software)
- IT Support – we would love someone experienced with networks, servers, and websites

4. Public Relations Assistant - 2 Workstations / 2 Interns
- Drafting of press releases, media alerts and tip sheets for book launches, author events and company promotion
- Mass distribution of PR items via email and fax
- Daily use of Bacon’s Media Database for publicity campaigns Integration of media lists with ACT CRM software and SwiftPage
- Help with an awards program sending 10 titles per year out to 65 national, 13 regional, and 75 state awards
- Help execute the title review program that requires that each new book be sent out for industry review to hundreds of reviewers. Similar in scope to the awards program, managing this program requires much attention to detail in execution and the personal interaction with the reviewers.
- Help with our annual publicity and promotion plan which is the master plan aid out the brought together title specific promotion, author and illustrator events, Chase Calendar of Events and Sylvan Dell promotion in the local area.
- Work with our 64 authors and illustrators to help arrange media coverage of their events and help in the planning for new title launches, and follow-on promotion at bookstores, schools and public libraries.
- Develop additional Teaching Activities for each book with an eye to marketing
- Develop Interactive Quizzes for each title
- Proofreading of manuscripts for selection and final prepress
5. Technology and Social Media - 1 Workstation / 1 Interns (Working with PR)
- Help maintain Facebook
- Help maintain blog
- Help with Google Alerts
- PR functions
6. Graphic Design and Art Direction - 2 Workstations / 2 Interns
- Art direction, design, layout, typesetting, and print preparation for 10 books per year
- Art direction for illustrators throughout production process (hiring, sketch stage, cover art, final interior art)
- Cover design and layout (colors, font and composition, border choices, back cover art)
- Interior design, layout, and typesetting for all books
- Work directly with Editor for illustrator and manuscript coordination
- Talent scouting and developing new illustrators
- Design and art direction for all promotional materials and print media
- Design, file preparation, and submission of all advertising (print and web)
- Design, layout, and print preparation for catalog
- Color management, proofing, and correspondence with overseas printer
- Design of email templates for mass emailing
- Website maintenance and upkeep
- Manage graphic design interns
7. IT / Code Writer / Website / Network - 1 Workstation / 1 Intern
- Php and html code writing
- eBook development – familiar with Flash / Java
